Regional architectural firm is in search of an experienced Administrative Assistant. Full-time position working with five Licensed Architects and all other staff, performing a wide range of professional administrative and office support activities to facilitate efficient operation. Knowledge and experience with Microsoft Word, Outlook, and Excel are essential, as are good analytical and problem-solving skills, good written and verbal communication skills, efficient time management skills with the ability to balance numerous requirements, and the ability to learn quickly and work independently as well as part of a team. Generally, knowledge and capabilities will include:


  • Knowledge of principles and practices of basic office management
  • Knowledge of clerical and administrative procedures and systems such as electronic and hard copy filing and record keeping
  • Knowledge of operation of standard office equipment
  • Knowledge of architectural practices and procedures would be a plus, including any knowledge of AIA Contract Documents
  • Knowledge of and previous experience in working in a corporate HR capacity would also be a plus
  • General clerical duties, including photocopying and mailing
  • Assist with document editing, printing, document formatting, and assembling large documents and reports in Microsoft Word and using Adobe Acrobat Professional
  • Preparing and modifying documents including correspondence, reports, drafts, memos, and emails
  • Assisting in the preparation of marketing materials and assisting in preparations of PowerPoint and other graphic presentations
  • Occasionally answering, screening, and transferring inbound phone calls, and welcoming and directing visitors and clients
  • Assisting in opening, sorting, and distributing incoming correspondence
